Operational Drag: How to Spot and Fix Bottlenecks in Your Business

Staff writer | 27 August 2025 | 1 year ago

Whether you’re showing off your newest service, onboarding clients or launching new products, speed is key to business success. Regardless of your industry, you’re going to have a lot of competitors, many vying for the same customers as you. Being able to provide exactly what customers want quickly and smoothly is vital, and it can be the difference between winning business and market share, and watching another business storm ahead without you.

But, even the most organised and strategic businesses run into problems when it comes to efficiency. Inefficiency slows momentum, drains resources and makes it a lot harder to grow.

This is called operational drag and when operational drag creeps in, progress stalls. Deadlines are missed, costs rise and customers experience a subpar service. More often than not, operational drag builds gradually and before you know it, it’s holding you back.

Understanding Operational Drag

Operational drag isn’t something that happens on an ‘off’ day at work. It’s a slow, steady build up of inefficiencies that impact your processes and stop your business operating at its full potential. It’s not a one-off issue – like your website going down on one of your busiest shopping days, or staff shortages from multiple people calling in sick – or a temporary disruption that’s quickly resolved. Operational drag is when day-to-day processes take twice as long as your competitors, or when projects are regularly delayed because too many people need to sign off at each stage.

For your business to succeed, you need tasks to flow quickly and smoothly, without any bumps in the road. If you have bottlenecks, outdated processes and misaligned resources slowing things down, you’ll experience operational drag.

Operational Drag Could Be Costing Your Business

When a lot of business owners think of operational drag, they think about efficiency, but it actually affects a lot more than you might realise.

  • Profit Margins – As you’re sure to know, wasted time is a waste of money. If you’re experiencing operational drag, you’re likely to find yourself spending more on labour, higher overheads and resources being allocated in the wrong places, all of which cost money and quickly add up.
  • Customer Relationships – There’s a risk of delayed deliveries, slow responses and inconsistent customer service when you’re not keeping up. All of this can send customers running, making it harder to build a loyal customer base of people who will return time and time again.
  • Team Morale – Poor morale impacts productivity, employee satisfaction and it can even increase staff absences. Employees get frustrated when they’re constantly having to overcome hurdles and always being slowed down.
  • Not Keeping Up – You might be ahead of your competitors now, but operational drag usually means you’re not able to keep up with market changes, trends and evolving customer demands.

How to Spot Operational Bottlenecks in Your Business

Bottlenecks aren’t always obvious. In fact, the hidden ones are often the biggest issues. This is why it’s so important to spot operational bottlenecks in your business early.

  • Map Your Processes Thoroughly – You need to document every step of your workflows, from beginning to end, from a customer placing an order right through to the final product or service being delivered. You can then identify where delays usually happen.
  • Measure Task Times – Track how long it takes your team to complete a task, and compare this to industry benchmarks or past performance. This allows you to monitor bottleneck stages in real time, and determine if any stage is taking you longer than it should.
  • Speak to Your Team – As the business owner, you’re probably not ‘on the ground’ and seeing bottlenecks for yourself. This is why it’s important to speak to your team. Find out where they feel most slowed down, what steps they dislike because of how slow things move, and what improvements they would make. Employees often have a clearer picture of operational drag because they’re seeing it every day.
  • Look Out for Struggling Resources – If one person, machine or software tool is always at capacity – or if the same thing is always holding things up – you’ve found a bottleneck. Overburdened, struggling resources slow things down significantly, preventing your team from being as efficient as productive as they could be.

How to Fix Business Bottlenecks and Reduce Operational Drag

Once you’ve identified your business’ biggest bottlenecks, it’s time to fix the problem.

  • Prioritise Impactful Fixes – If you have a lot of bottlenecks to fix, focus on the ones that will have the biggest impact. Not all of your bottlenecks need immediate attention, and some are likely to have a bigger impact on operational drag than others. Focus on the ones that create the most costs, delays or customer frustrations.
  • Streamline Processes – It’s important that your processes are simple and streamlined, so remove unnecessary steps, combine approvals and get rid of any duplicated work. By streamlining everything, you remove operational drag and boost efficiency.
  • Automate Tasks – Technology has come a long way, especially when it comes to automation. Automation tools can handle everything from data entry and setting appointments, to scheduling and generating invoices. By embracing automation, you free up your team for higher value work.
  • Add Resources – The way to fix a bottleneck in your business can be as simple as adding more resources. This could mean hiring more staff, outsourcing tasks or upgrading equipment. It’s easier to have a steady workflow when there’s more people, tools and equipment handling things.
