What Small Businesses Can Learn from Big Business Efficiency

Business Advice | 30 May 2025 | 1 year ago

The success of big, successful businesses can feel out of reach for a lot of people. They’re dominant, well-known brands with a lot of customers and growth behind them. But, that doesn’t mean the same success is out of reach for smaller businesses. A lot of big business success comes from efficiency. It’s easy to focus on the size, reach or market share of the biggest businesses out there, forgetting that a lot of that comes from efficiency happening behind the scenes.

How Big Businesses Stay Efficient

They Have Clear Systems and Standard Operating Procedures (SOPs) If there’s one thing that efficient big businesses do, it’s have clear systems in place. They don’t wing it, they don’t rely on guesswork. They don’t sit back and hope everything figures itself out. They run on clear, repeatable and documented processes, always following the same template. From customer service to internal reporting, big businesses tend to have a documented SOP for important tasks. This ensures consistency, scalability and accountability. Every customer gets the same quality of service, new employees are trained quickly and there’s no confusion over who’s responsible for what.

They Use Automation and Technology There’s a lot of technology out here to help businesses boost efficiency, so make the most of it. Big businesses use software to automate everything from payroll to inventory, from email marketing to HR. These systems reduce human error and free up time for more important, more valuable work. Staff have more time to focus on high priority tasks, knowing that standard day-to-day tasks are being taken care of.

They Have Roles Clearly Defined and Delegated In big businesses, no one wears multiple hats. Everyone has a set role, with set tasks and set processes. There are clear job descriptions, defined responsibilities and focused expertise. This results in higher productivity, less confusion and overlap, and better employee satisfaction. Rather than everyone trying to handle everything, and hoping for the best, big businesses set clear expectations for each team member. As a small business, you might not have enough people to tackle everything, but that’s where outsourcing comes in.

They’re Continually Looking for Ways to Improve Regardless of how well things are going, big businesses don’t stop striving for success. They’re always looking for ways to improve and achieve more. This could mean finding ways to eliminate waste or reduce product variations, or coming up with methods that allow them to stay agile, flexible and ready to adapt to changing markets. This doesn’t just mean improving operational processes, it means promoting a culture of constant optimisation within everything the business does.

They Make Decisions Based on Data When big businesses are operating at scale, making decisions based on gut instinct can be challenging, and there’s no guarantee of success. That’s why big businesses rely on real-time data, analytics and KPIs to guide every decision. Everything from marketing campaigns to warehouse logistics are decided based on facts and figures. This improves and speeds up decision making. Big businesses can act quickly, knowing they have data to back up their choices.

Why Big Business Efficiency Matters for Small Businesses

There’s a common misconception amongst SME business owners that some are too small to make use of big business efficiency. But, that’s not the case. Efficiency isn’t about company size, it’s about mindset and finding ways to improve the day-to-day running of things. Gone are the days of complex strategies and impressive software being solely reserved for big businesses with impressive budgets, as there are now a whole host of low cost alternatives and freelancers available to help smaller teams. It’s also important to remember that smaller teams often need efficiency more than large ones. After all, you have fewer resources, so every hour and penny spent needs to count for more.

By adopting the right systems, tools and habits, small businesses can reduce overheads, improve the customer experience, increase employee satisfaction and make more time for growth, innovation and strategy.

Simple Ways to Make Your Small Business More Efficient

When it comes to learning from big business efficiency, you don’t need to do everything at once. It can feel daunting and a lot to take on, especially if you’ve got a fair few changes to make, but there’s no rush. Instead, start with small, easy to implement changes.

Automate One Task This Week There’s no need to automate everything immediately, as this can be time-consuming and costly. Instead, automate one task this week, and see how it goes. You can automate more and more as time goes on.

Document One Key Process Documenting key processes helps to keep the business running smoothly, but you don’t need to suddenly produce SOPs for everything. Start with one task, such as onboarding or invoicing, and go from there. You can build up a collection of SOPs in time.

Define One Role More Clearly It’s important that everyone knows what their role is, what their tasks are and what’s expected of them. Write down responsibilities for one team member to start with, and do more as the business grows. Eventually, all roles will be clearly defined, ready for onboarding.

Review One Metric Regularly Tracking business performance is vital, but there’s a lot of data and information to sift through. Pick a key KPI and track it weekly. Once you get the hang of reviewing the information and using it to optimise the business, bring other KPIs into the mix.
